The welcome message to send new clients before a first visit

About five days before a new client's first visit, send their intake paperwork with a short, warm note. It makes the appointment feel real and gives them a person to cancel with instead of a silence to disappear into.

Why a welcome message cuts first visit no shows

New clients no show more than regulars. They haven't met you yet, and the booking felt like a click. One practitioner with decades in practice wrote that sending paperwork plus a friendly welcome letter about five days ahead cut first session no shows to almost none. It takes a few minutes per client.

Email or text

Hi Jordan, I'm looking forward to meeting you on Thursday at 2:00. I've attached a short intake form. If you can fill it in before you come, we'll get more of your time for the work itself. The office is at 12 Lake Street, with parking behind the building. If anything changes, just reply to this message. See you Thursday, Riley

How to send the welcome message automatically

Many booking tools can send a message a set number of days before an appointment, and some can send it only for a client's first visit. We'll add setup steps for each tool once we've tested them in a real account. Until then, a saved draft you send by hand works.
