Chapter 1
What to do about the calls you miss on a job
Start with what costs nothing: a voicemail greeting that tells callers when you'll call back, and the habit of calling back when you said you would. Then check whether missed calls are costing you work before you pay for a tool.
First, do you have a problem at all?
Plenty of owners who are booked weeks out lose very little to a missed call. Others hear "sorry, I've booked elsewhere" every week. The missed call calculator uses your own numbers and says plainly when you don't need to fix anything.
A voicemail greeting that keeps the caller
Most callers hang up on a greeting that sounds like nobody will ever call back. Say who they reached, when you'll call back and what to leave.
Greeting for a trade
Greeting for a practice
Swap in your own name, business and the callback time you can really keep. More scripts, including after hours and therapy practices, are in the voicemail greeting guide.
A callback habit you can keep
Pick fixed moments for callbacks, like between jobs, at lunch and before you drive home. Return every call at the next one. A caller who hears back within the time your greeting promised usually waits for you.
Texting the caller back
Many phones and booking tools can send a text when you miss a call, so the caller knows you saw it. Some cost nothing extra and some are paid add-ons. We only publish setup steps after doing every step in a real account, and those pages are on the way. Until then, a quick text from your own phone when you check voicemail does the same job. Is missed call text back worth it? compares what phones and business apps can do, and what they cost.
If you text clients from a business tool, get their OK to text first. Most US business texting tools also ask you to register your number for business texting, known as 10DLC, before messages go out reliably.
After hours and weekends
Decide your rules once and put them in your greeting. If the phone goes off when you stop for the day, say so, and say when you'll call back. If you take weekend calls, say that too. Callers mind a clear rule far less than silence.
Questions owners ask
Is missed call text back worth paying for?
Only if you are losing real work to calls you can't answer and you have open time to fill. Run your own numbers in the missed call calculator first. If you're booked out, a clear voicemail greeting and a reliable callback are usually enough.
Should I answer calls on weekends?
That is your call. Some owners take weekend calls because their competition doesn't. Others turn the phone off at a set time. Either works if your voicemail greeting says when you'll call back and you keep to it.
