Chapter 2

How to stop clients from no showing

Write a clear policy, send reminders, welcome new clients before their first visit, and decide whether to hold a card. Then enforce the policy you wrote. Most owners only need the first few.

What reduces no shows, from least effort to most

  1. A clear policy, said up front. Clients can't respect a rule they never saw. Build one with the policy builder and put it where people book. To see what's normal, read what 153 practices put in theirs.
  2. Reminder texts. In a large trial, one about three days before and one the day before beat a single reminder. Wording and timing by business type.
  3. A welcome message before the first visit. New clients don't know you yet. A friendly note with their paperwork a few days ahead makes the visit feel real. The template.
  4. A card on file. It turns the policy from a request into something that happens. Most booking tools can hold one. Read how and whether to require a card on file.
  5. Charging the fee. A policy you never use is only a suggestion. Scripts for the hard conversation, including when they had a good reason.

Know your no show rate first

Before you change anything, work out what no shows cost you now with the no show calculator. It gives you a number to check against after each change.

For a sense of scale, a review of 105 studies found healthcare appointments are missed about 23% of the time on average, and a separate review put mental health appointments at about 20%. For salons, one booking platform, Booksy, reported much lower rates in 2021: about 1 to 2.4% across 15 US cities. Your own rate over time tells you more than any average.

Do reminder texts really cut no shows?

Yes. In a Cochrane review, seven trials comparing text reminders with none found attendance rose from 67.8% with no reminder to 78.6% with text reminders. A trial of more than 54,000 patients found two reminders, three days and one day before, beat one. Start with the reminder text templates.

Setting this up in your booking software

Most booking tools can send reminders, show your policy at booking and hold a card. We only publish setup steps for a tool after doing every step in a real account, and those pages are on the way.

Questions owners ask

Is my no show rate normal?

It depends on your work, your clients and how far ahead they book. Your own rate over time tells you more than any average. Work it out with the no show calculator, then check again after each change you make.

Do I need a card on file before I book a new client?

No, but many owners who had trouble with first visit no shows started asking for one. It works best when your policy says plainly when the card is charged.
